How to Use the Online Payslip Generator (Free PDF Export)

Where to find it: online payslip generator (free; manual entry and export need no login)
What it does: live preview as a company-wide horizontal table; export PNG, landscape PDF, or a ZIP with one file per person
Privacy: this site does not store this private data (nothing written to disk or database)

Plenty of teams still issue payslips by filling in an Excel template, taking screenshots, and forwarding them one by one. The formatting is inconsistent and the totals are easy to get wrong. The 17NAS payslip generator puts entry, preview, and export on one page: you fill in company and employee groups on top, and the standard company-wide table appears immediately below. Everything is calculated locally in the browser by default, so you do not have to install accounting software just to produce a payslip.

Here is the real order of operations: first manual entry of the roster (no AI, no login), then Excel / CSV column mapping after logging in, then the optional AI cleanup, and finally export plus the privacy boundaries.

The four blocks to get straight on the page

  1. Company details: company name, currency, and an optional signature. When several people share one company, fill it in and click “Apply to all”.
  2. Employee and payment: name, employee ID, pay period, and pay date. These are validated before export.
  3. Gross / deductions: gross covers base salary, commission, bonus, and allowances; deductions cover social insurance and housing fund, income tax withholding, attendance deductions, and other deductions. The page totals gross, deductions, and net automatically.
  4. Roster and preview: tick the people you want and only they are previewed; leave everything unticked to preview all. The preview updates live as you edit. The roster holds up to 30 people.

You can click “Load sample” first to see the column structure, then clear it and enter your own data.

No login: manual roster entry (no AI)

Manual entry and export do not require logging in.

  1. Fill in the company name, pay period, and pay date.
  2. Enter the first employee's name, employee ID, and their gross and deductions.
  3. Click “Add employee”. The current form becomes the first row of the roster; if the form is empty, it adds a blank row that you can click to edit.
  4. Keep adding the rest. Click any roster row and the form on the left loads that person's data; the preview updates the moment you change something.
  5. You can drag rows to reorder them, and use the checkboxes to control who is included this time. If you would rather not send someone a payslip, just untick them.

Enter amounts separately for gross and deductions, and do not put net pay into the base salary field. You can use “Estimate income tax” for tax (a monthly estimate that excludes special additional deductions and cumulative withholding, for reference only). For social insurance, housing fund, and attendance, enter this month's actual figures.

Manually entered data lives only in the current browser, and disappears when you close the page or clear it. If you want to export in two sessions, export first and clear afterwards.

After logging in: import Excel / CSV with column mapping

When there are more people, you can upload a CSV or Excel (xlsx) file after logging in, map the columns, and then confirm the import. This is the most reliable bulk route: a structured mapping rather than asking a model to guess the table.

Suggested columns: name (required), plus employee ID and each gross and deduction item. Company name, pay period, and pay date can be filled in once on the page and applied to all.

Steps: after logging in, open the payslip generator and upload a csv / xlsx file (about 2 MB maximum). Once the header is recognised, check the column mapping and choose “Do not import” for any column you do not need. You must designate the name column. Confirming the import replaces the current roster with the people from the spreadsheet, so check row by row after importing and then tick who to export.

Format the header as “field names in the first row, data below”, with no merged cells or title rows. Use plain numbers for amount columns, and store employee IDs as text so that 001 does not become 1. Split the file if you have more than 30 people. UTF-8 is recommended for CSV; if Chinese characters come out garbled, upload xlsx instead.

Optional: AI cleanup after logging in (nothing stored)

If you already have chat logs, notes, or scans, you can use “AI cleanup” (login required). It only speeds up filling in the form; it is not a payroll system.

You can paste text (about 20,000 characters), upload txt / csv / xlsx, or upload images / PDFs (about 8 MB). Scans go through text recognition. Clicking “Clean up and fill in” writes into the form and roster; if there are too many entries, only the first 30 people are returned.

Always check the names, employee IDs, and amounts. This site does not store this private data: manual entry stays in your browser, and when you use AI the text is forwarded through the server and then deleted, as are images once recognised. Do not paste unnecessary information such as ID numbers. If recognition is inaccurate, switch to manual entry or column-mapped import.

Export PNG, landscape PDF, or one ZIP per person

Export once the preview looks right:

  • Export image: the whole table as a PNG, handy for chat messages or notifications.
  • Export PDF: the whole table as landscape A4, suited to printing, archiving, and email.
  • One ZIP per person: generates a PDF for each person and packages them. Do not close the page when there are many people; wait for the progress to finish.

Before exporting, confirm: name, employee ID, and pay period are filled in; the ticked selection is correct; gross, deductions, and net match your ledger; and company name and pay period have been “applied to all” where you need them uniform. Layout can be compact or standard — use standard for printing and compact for chat. The columns you see in the preview are the columns in the export.

Privacy and scope of use

This site does not store this private data. Details are never written to disk or database and are cleared when you close the page. It cannot serve as a cloud ledger, so save the exported files yourself for your records. On a shared computer, close the tab when you are done.

A payslip generated online is a clear payment record, but it cannot replace statutory ledgers, income tax withholding, or bank receipts in your jurisdiction. This tool also does not connect to social insurance or housing fund APIs.

Suggested workflow: up to 3 people, enter manually without logging in and export; 10–30 people, log in and go through Excel / CSV column mapping, then build the ZIP; if you only have chat logs or scans, log in, use AI cleanup, verify person by person, and then export. The generator handles formatting and arithmetic; whether the numbers are right is still down to your payroll sheet.

When you need payslips, open the payslip generator and start with manual entry or an import.
